Decision support, not a supplier verification or legal/customs determination. Taxes are modeled using simplified assumptions. Prices, delivery commitments, Incoterm inclusions, banking costs and duties require independent confirmation.
Important calculation scope: QuotePilot provides estimates using your entered costs and a simplified duty/tax model. Incoterms do not automatically add or remove charges. Confirm freight inclusions, customs rules, recoverable taxes, bank FX and destination costs before making a purchase.

YOUR 2-MINUTE ROUTEFrom quotes to a decision in five moves.
Enter your deal → Add supplier offers → Check FX and eligibility → Compare costs and scores → Export a report or negotiate.
QuotePilot answers one practical question: Which eligible supplier gives me the strongest deal under the assumptions I entered? It is a comparison and planning tool—not a supplier-verification or customs service.
1Set your dealOrder quantity, selling price and costs.
2Add offersEnter prices, currencies, freight and MOQ.

02 · FOUNDATION
Deal Parameters: set the rules once
These inputs apply across the comparison. Make sure every supplier is being evaluated for the same product specification and order size.
Order quantity
Units you intend to buy. MOQ checks compare against this number.
Target selling price
Your planned selling price in USD per unit. Used to estimate contribution and margin; it is not the supplier's quote.
Duty and tax
Rates you provide for the model. Actual customs rules and taxable bases depend on jurisdiction.
Other costs and fees
Account for extra per-unit charges and applicable fixed fees as labeled. Avoid charging the same expense twice.
Keep this distinction clearSupplier price = what you pay the vendor. Landed cost = modeled cost after entered logistics and import charges. Selling price = what you expect your customer to pay.
03 · THE INPUTS
Supplier quotations: compare like with like
Add one row per supplier. Capture the unit quote, currency, MOQ, freight, insurance, lead time, Incoterm and your own risk estimate.
What to checkFOB and EXW are not interchangeable. QuotePilot does not magically add missing transport legs because an Incoterm was selected. Enter realistic freight/insurance yourself and confirm what is included.
MOQ protection: If a supplier requires 1,500 units and your order is 1,000, it is excluded from eligible recommendations. A warning is not a negotiation or approval.
For accurate comparisons, request matching specifications, packaging, delivery destination, quantity and quote validity dates.
04 · GLOBAL CURRENCIES
Currency & FX: know what rate you used
QuotePilot compares landed costs in USD, while each supplier's quote remains in its original currency. Its FX input means USD per 1 unit of the supplier's currency.
Auto FX
Online daily indicative reference rates when available. They are not a live bank execution quote.
Manual FX
Enter a rate from your bank or contract. Editing the rate overrides auto mode for that supplier.
Example€7.90 × $1.10/€ = $8.69 of product cost per unit before logistics and duty.
Weekend or stale rates can be normal. Confirm spreads, payment fees and the actual rate before committing. An invalid rate must not be used for ranking.
05 · UNDERSTAND THE NUMBERS
Landed cost, margin & the recommended supplier
Estimated landed cost
Modeled total cost of the order, including the expenses you entered.
Landed cost per unit
Estimated total landed cost ÷ order quantity.
Modeled margin
Approx. (selling price − landed cost/unit − applicable selling fees) ÷ selling price. Not guaranteed net profit.
Recommended supplier
Lowest modeled landed cost among eligible quotes—not necessarily the fastest or safest.
Worked example1,000 units at €7.90 with manual FX $1/€, $1,500 freight, $120 insurance, 5% duty on $9,520, plus $0.50 per unit other costs: $10,496 total or $10.496/unit. Selling at $20 gives a modeled 47.52% margin before unmodeled expenses.
Two rankings, two questions: The main recommendation answers “Who is cheapest under my model?” The Scorecard answers “Who best matches my chosen priorities?” They may differ—and that's useful.
06 · PRESSURE TEST
What-If Scenarios & Deal Stress Radar
Freight Increase and FX Increase simulate what happens if costs rise. They are scenario assumptions, not forecasts or live shipping prices.
Try thisSet Freight Increase to 20% and FX Increase to 10%. Check the stressed landed cost, then return both to 0%. With no shocks, the stress result should return to baseline.
Use scenarios to decide how much contingency to budget and whether a low-price quote remains attractive if conditions change.
FX stress may affect suppliers differently based on their currencies and rates. Confirm exactly which cost elements are stressed in the result.
07 · NEW IN V6.1
Supplier Scorecards: define what “best” means
Open Command Center PRO → Supplier Scorecards. Set how much you care about Cost, Delivery Speed, Risk and MOQ Flexibility. The four weights should add up to 100%.
50%CostLower eligible landed cost scores better.
20%SpeedShorter entered lead time scores better.
20%RiskBased on your 1–5 risk rating.
10%MOQRewards modeled ordering flexibility.
Why the scores moveIf you switch to 100% Delivery Speed, the scorecard reflects only relative lead time among eligible suppliers. A supplier can score 100 without being “perfect”; it can simply be the fastest in this comparison.
Important: Composite scores are relative decision aids, not third-party audits, verified quality scores or probability-of-success estimates. Changing weights does not change the main lowest-cost recommendation.
08 · TURN INSIGHT INTO ACTION
Negotiation Studio: calculate your ask
Open Negotiation Studio, choose an alternative supplier, and pick your objective. QuotePilot works backward to estimate the supplier unit price needed to reach it.
Match the best landed cost
Ask for a quote that would match the current lowest eligible modeled landed cost.
Beat the best
Set an additional improvement beyond the current best.
Hit my own landed-cost target
Enter the desired USD landed cost per unit, not total savings.
Save $X on this order
Enter the total USD savings you want across the whole order; v6 calculates the required target.
Real-world exampleA supplier currently lands at $10,496 for 1,000 units. To save $1,000 total, the target landed cost is $9.496/unit. At $1/€ and 5% modeled duty, a supplier quote near €6.9476/unit achieves that target if other assumptions remain unchanged.
Currency rule: Savings goals and landed costs are in USD. The supplier-facing requested price and generated message use the supplier's quote currency. Review the draft before copying or sending; QuotePilot does not contact suppliers automatically.
A target is not an accepted offer. The original quotation remains unchanged until you deliberately edit it.
09 · PRESENT WITH CONFIDENCE
Executive Deal Reports: explain the decision
Open Command Center PRO → Executive Deal Report. The report organizes the eligible offers, exclusions, financial assumptions, recommendation and modeled savings against the next-lowest eligible option.
Two export pathsDownload HTML: a portable, printable report file. Open report / Save as PDF: preview the report in Chrome, then choose Print → Save as PDF.
Before sharing: rename “New sourcing project,” remove test suppliers, confirm all FX and cost assumptions, and check the PDF doesn't clip the supplier table.
A polished report communicates your analysis, not proof that a supplier is authentic or a landed-cost quote is legally binding.
10 · KEEP YOUR WORK
Project Vault, autosave & backups
Open Command Center PRO → Project Vault to save named snapshots and restore previous project states. v6 supports up to 30 local snapshots.
Autosave
Helps retain your current working project in this browser.
Save snapshot
Creates a named restore point. In v6.1, restoring a snapshot also restores its name as the project title.
Export JSON

Import JSON
Restores a previously exported project. Review the restored data before using it commercially.
Local browser storage is not cloud sync. Clearing site data, changing browsers/devices, or using private browsing can remove local projects. Export JSON backups regularly.
11 · BEFORE THE PURCHASE ORDER
Your seven-point reality check
Bottom line: QuotePilot is a decision-support tool. It doesn't verify supplier legitimacy, offer real-time freight quotes, guarantee margin, or replace customs, legal or trade advice.
The original in-depth tutorials are preserved below, including detailed field-by-field explanations, calculations, practical examples and pre-purchase checks. Use the new Academy above for a quick overview, then open these lessons whenever you need the full explanation.
01 · THE BIG PICTURE
What is QuotePilot actually calculating?
Imagine three suppliers offer the same product at different prices, in different currencies, with different shipping terms. QuotePilot converts their quotes into a common USD model, adds the costs you enter, checks minimum order quantities, and compares estimated landed cost and selling margin.
Simple example1,000 units × $10 product cost = $10,000. Add $1,000 freight and $100 insurance. With 5% duty on $11,100, duty is $555. Total modeled landed cost is $11,655, or $11.655 per unit before any additional taxes or costs.
This is a planning model, not a customs ruling or binding freight quote. Country-specific duties, tax bases, customs fees and documentation must be checked separately.
02 · BUILD YOUR DEAL
Deal parameters, explained
Project / product
Give the comparison a meaningful name, such as “1,000 stainless steel bottles — UK import”. It appears in your saved project.
Planned order (units)
How many pieces you intend to buy. Example: 1,000. QuotePilot uses this to calculate total costs and check MOQ.
Target selling price (USD/unit)
The price you expect to receive from your customer for one unit, before considering the modeled costs and selling fees. Example: $18.
Import duty (%)
The assumed customs duty percentage. Example: 5%. The current model applies it to goods + freight + insurance; real customs valuation varies.
Other tax (%)
An additional assumed tax rate, applied in this model to goods + freight + insurance + duty. Enter 0 if not applicable; verify whether any VAT is recoverable.
Other costs (USD/unit)
Extra costs for each unit, such as packaging, inspection, inland delivery or handling, when not already counted elsewhere.
Marketplace / selling fees (%)
Percentage of selling revenue charged by a marketplace, broker or payment platform. Example: 10% of an $18 sale is $1.80 per unit.
Golden rule: All deal parameters apply to the entire project. Compare like-for-like products, destinations, quantities and quality requirements.
03 · UNDERSTAND THE OFFER
Every supplier quotation field
Supplier
The company name or your own label, e.g. “Factory A — China”.
Unit price
Supplier's price for one unit in the selected currency. Enter 9.50 for €9.50, not a converted USD price.
Currency
The currency of the supplier's quoted unit price: EUR, CNY, GBP, USD and others.
USD per 1 currency unit
The conversion multiplier. If €1 = $1.10, enter 1.10. Use online indicative rates or your own bank rate.
MOQ — Minimum order quantity
The smallest quantity the supplier accepts. If MOQ is 1,500 and you plan 1,000, the quote is ineligible.
Freight USD / Insurance USD
Total estimated costs for the whole order, not per item. Enter only charges not already included in the supplier's quote.
Lead days
Supplier's stated number of days. Confirm whether it means production, dispatch or arrival; they are not interchangeable. Example: 30 days production plus 25 days shipping is not 30 days to your warehouse.
Risk 1–5
Your own assessment: 1 = very low concern, 2 = low, 3 = moderate/unknown, 4 = high, 5 = very high. It is not a verified company rating.
Incoterms® — who pays, who arranges, and when risk transfers?
EXWEx Works
Buyer generally takes on collection and most logistics. Check who can legally handle export formalities.
FOBFree On Board
For sea/inland waterway shipments: seller loads on the vessel at origin; buyer generally pays main freight. Risk transfers on board at origin.
CFRCost and Freight
Seller pays ocean freight to named destination port, but risk transfers on board at origin. Seller is not required to insure.
CIFCost, Insurance and Freight
Seller pays freight and required insurance to named destination port; risk still transfers on board at origin.
DAPDelivered at Place
Seller delivers to named destination ready for unloading; buyer generally handles import clearance and duties.
DDPDelivered Duty Paid
Seller generally handles import clearance, duties and delivery to named place; buyer generally unloads.
Always specify the named place/port and Incoterms® 2020 in the actual contract. Choosing an Incoterm in QuotePilot does not automatically change cost entries. Other Incoterms exist; confirm which rule fits the transport mode.
04 · COMPARE COUNTRIES
Currencies & online FX
QuotePilot uses USD as the common reporting currency. Refresh online rates to populate supported currencies using daily indicative reference data, or manually enter the actual rate your bank offers.
ExampleSupplier A quotes €8. If €1 = $1.10, the product component is $8.80/unit. Supplier B quotes ¥65 CNY. If ¥1 = $0.14, the product component is $9.10/unit. Freight, duty and other costs can reverse the ranking.
“Latest available” is not necessarily today's rate. Weekends/holidays can delay reference updates. Banks charge spreads and fees; use your executable rate for final decisions.
05 · PRESSURE-TEST THE DEAL
What-if scenarios
These controls explore what happens if assumptions change. They do not forecast the future.
Freight increase (%)
Enter 20 to model freight costing 20% more. Example: $1,000 becomes $1,200 in the stress calculation.
FX depreciation (%)
Enter 10 to model a 10% rise in the USD cost of supplier goods due to an adverse currency move. This applies to the product component, not all USD-denominated charges.
Late delivery cost (USD/day)
Optional business estimate of the cost of delay, e.g. lost sales or a contractual penalty. Enter 0 if unknown. Check the result breakdown to see how this assumption is used; it is not a shipping-time forecast.
Try this: First compare the base landed cost. Then try freight +20% and FX +10%. See whether the best supplier changes or your margin becomes too thin.
06 · READ THE DASHBOARD
What the results actually mean
Eligibility
Whether the quote passes basic validation and the MOQ requirement. An ineligible supplier should not win the cost ranking.
Landed cost / unit
Estimated total modeled purchasing cost divided by planned order quantity. Lower can be better, but not if quality, reliability or timing is unacceptable.
Total landed
Estimated purchasing cost for the entire order, including the modeled charges entered.
Net contribution / unit
Target selling price minus modeled landed cost and applicable selling fees. This is not final net profit; overhead, returns and other expenses may be missing.
Margin
Modeled contribution as a percentage of selling price. Example: $6 contribution on an $18 sale = 33.3%.
Break-even sale price
Approximate selling price needed to cover modeled per-unit costs and selling fees, not all company overhead.
Stress landed / unit
The modeled unit cost after the scenario changes you entered.
Risk and lead-time insights
These help you compare trade-offs. A lower-cost quote can still be the wrong choice if the supplier is unverified or arrives too late.
07 · TURN ANALYSIS INTO ACTION
Negotiation Studio — a practical guide
Negotiation Studio helps you calculate a proposed supplier unit price that could make an alternative offer competitive. It does not contact suppliers or guarantee acceptance.
Step 1 · Choose an alternative supplier
Start with at least two eligible quotations. Select the supplier you want to negotiate with, not the current lowest-cost supplier.
Step 2 · Choose your goal
Match best: equal the best estimated landed cost. Beat best: aim lower by your chosen savings per unit. Custom: set your own desired landed cost per unit.
Step 3 · Read the target
The studio calculates the quoted unit price needed using your entered quantity, exchange rate, duty, taxes, freight and insurance. Check whether the target is realistic and the supplier is eligible.
Step 4 · Prepare your message
Choose a writing style, review the editable draft, then copy it. No message is sent automatically. Never share another supplier's confidential quote without permission.
Simple exampleSupplier A lands at $11.65/unit; Supplier B lands at $12.18/unit. The studio can estimate what B's product unit price would need to be to match A, assuming other modeled charges stay unchanged.
Important: This is a planning estimate. Shipping terms, supplier willingness, quality, FX spreads, payment terms and actual customs rules may change the outcome. Recalculate after receiving a revised quotation.
07 · BEFORE YOU COMMIT
Seven checks before sending a purchase order
Verify the supplier's legal identity, bank beneficiary and manufacturing capability.
Confirm identical specifications, quality standards, packaging and quantities.
Get the exact Incoterm, named location, lead-time definition and shipping quote in writing.
Confirm tariff classification, import restrictions, duties, taxes and permits with qualified parties.
Use a realistic bank FX rate, fees and a sensible contingency.
Agree on inspection, payment milestones, dispute terms and delivery documents.
Export the project and keep the original supplier quotations for auditability.
QuotePilot helps organize decisions. It does not verify suppliers, calculate jurisdiction-specific customs obligations, or guarantee delivery or profitability.

How we calculate your target
We solve backwards from the desired landed cost using your quantity, FX rate, duty, tax and entered shipping costs. The model applies duty to goods + freight + insurance, then tax to that duty-inclusive amount; this is not a country-specific customs calculation. We assume all non-product costs stay unchanged. Real supplier offers, Incoterm inclusions, bank FX and customs treatment must be confirmed.
